Best Motel Software in 2026 for Independent Motel Owners
A plain comparison of motel software for 10 to 60 room independent motels, with what to look for, six options, how to choose and demo questions to ask.
Plenty of independent motels still run on a paper register, a cash drawer and a phone that rings while the clerk is checking someone in. Bookings from Booking.com and Expedia arrive by email and get typed in later. Somebody has to reconcile the cash, the cards and the OTA payouts at the end of the week, and it is usually the owner.
Motel software is meant to replace that pile with one screen showing which rooms are clean, occupied or due out, who owes what, and what is coming tomorrow. The hard part is choosing, because most vendors sell to hotels and talk like it. This post covers what to look for, six options that independent motels actually consider, and how to pick based on where your bookings come from. Plans and prices change often, so check each vendor's own page before you decide.
What should motel software do?
Start with your own day. Write down the five things that cost you time or money this week, then check each product against that list. These are the areas that matter most for a 10 to 60 room property.
- Room board and housekeeping status. You should see every room's status at a glance, and housekeepers should be able to mark rooms clean from a phone or tablet.
- Rates. Weekday, weekend, weekly and event rates, plus a way to change them quickly.
- Reservations from the phone. Most motel bookings still start with a call. Ask how a phone booking gets into the system, and whether anyone has to type it in.
- OTA and channel manager connection. If Booking.com and Expedia send you bookings, the software needs to keep availability in sync, or you will get double bookings.
- Payments. Cash and card together, a way to take deposits, and a clean daily close.
- Works on a tablet. A front desk tablet or phone is often all a small motel has.
- Price per month. Per room, per user or flat. Ask what is extra.
- Setup time. Days or weeks, and who does the work of loading your rooms and rates.
- Contract terms. Month to month or a yearly term, and what cancelling looks like.
If you want a refresher on the daily close, the night audit explainer walks through it. For what the desk does at arrival, see the motel check-in checklist.
Which motel software options are worth a look?
These are products that come up often for independent motels. Each section says who it fits and what to check.
Of the hotel-style systems below, only Beds24 and MotelOps are described in detail, because those are the ones whose terms we have checked ourselves. For the others, we link the vendor's own pricing page and list what to ask, since plans and prices change often.
Cloudbeds
Cloudbeds is a large all-in-one platform built mainly for hotels, hostels, B&Bs and short-term rentals, with a channel manager and booking engine in the same system. See its pricing page for current plans.
- Who it fits: a motel that gets many bookings from OTAs and wants everything from one vendor.
- Check: the real monthly price for your room count, which add-ons you would actually need, and how much of the platform is more than a motel uses.
innRoad
innRoad is a cloud PMS that sells to independent hotels and motels. See its pricing page for current terms.
- Who it fits: a motel that wants a PMS with channel management and payments available from one vendor.
- Check: the monthly price for your property size, what channel management and payments cost on top, and whether the contract is month to month.
RoomKeyPMS
RoomKeyPMS is a cloud PMS aimed at independent hotels. See its pricing page for how it packages plans.
- Who it fits: a larger motel that wants more depth, such as billing for corporate or contractor stays, groups and a long report list.
- Check: the monthly price for a small property, and whether the package you are quoted is more than you need.
WebRezPro
WebRezPro is a cloud PMS that lists hotels and motels as its market. See its pricing page for its current rates.
- Who it fits: a motel that wants a PMS with a tape chart, housekeeping and an online booking engine.
- Check: the price at your unit count, whether there is a monthly minimum or setup fee, the contract and cancellation terms, and what a channel manager connection costs.
Beds24
Beds24 is a pay as you go cloud system that lists hotels, inns, B&Bs and vacation rentals among its users. Its pricing page lists a monthly fee from €15.50 that scales with your rooms, plus €0.55 a month per channel link (one room type connected to one channel), with no contract. Prices are in euros and can be paid in US dollars.
- Who it fits: a small motel with a tight budget that is comfortable setting things up on its own and wants OTA connections without a big monthly fee.
- Standouts: a free trial, and no commission on bookings.
- Check: your real monthly total using their calculator, how much hand holding you get during setup (personal onboarding is an extra, from €79), and whether the screens fit a busy front desk.
MotelOps
MotelOps is our product, so weigh this section the way you would any vendor describing itself. It has two parts. The front desk side includes a room board, check-in and check-out, a housekeeping view that works on a phone, and a night audit with a daily close. The second part is Riley, an AI agent that answers the motel's phone, quotes the owner's own rates, and puts holds on the room board. You can forward your line to Riley or leave it as is.
Pricing is on motelops.com: from $49 a month, with a 7-day free trial and no card needed.
- Who it fits: a motel where most bookings come from phone calls and walk-ins, and where missed calls or nobody on the desk at night cost you business.
- Check: a Booking.com and Expedia connection is not built yet. If most of your bookings come from OTAs, pair MotelOps with a separate channel manager, or pick a PMS that has one built in.
For what Riley can and can't do on a call, read AI phone answering for motels.
How do I choose?
Pick based on where your bookings come from and what hurts most right now.
Most of your bookings come from OTAs
You need a PMS with a channel manager built in or one it connects to cleanly. Cloudbeds and innRoad both offer channel management, and Beds24 prices channel links separately. Ask each vendor to show you how a Booking.com reservation lands on the room board, and how a walk-in booking blocks the room online.
Most of your bookings come from phone calls and walk-ins
OTA sync matters less, so the room board, rates and phone handling carry more weight. A simple PMS plus a phone solution can cover it. Look at the simpler PMS options above, and at MotelOps if you want the phone answered and holds placed on the board. Before buying anything, count the calls you miss so you know what answering them is worth.
You have a tight budget
Ask every vendor for a written monthly total at your room count. Beds24 publishes its prices, which makes it easy to compare against. Add up everything you would need, such as payment processing and channel links, before you compare. A low base price with several add-ons can cost the same as a quoted bundle.
You want the phone handled at night
Most PMS products do not answer calls. A night phone solution is a separate piece, whether that is an AI agent, an answering service or a person. The guide to running a motel without a 24/7 desk covers what still needs a human overnight, and what an overnight clerk costs helps you put a number on the alternative.
What should I ask on every demo?
Take this list into each demo and write down the answers. Ask for them in writing if the salesperson is vague.
- What is my total monthly cost for my room count, including payments, channel manager and any per user fees?
- What is the contract term, and what does cancelling cost?
- How long does setup take, and who loads my rooms, rates and old reservations?
- Can I run the whole front desk on a tablet or phone?
- How does a reservation from Booking.com or Expedia reach the room board, and how fast does a walk-in block the room online?
- How does a phone booking get into the system?
- Can housekeepers mark rooms clean from their own phones?
- How do cash and card payments reconcile, and what does the daily close look like?
- What does support cost, and can I reach a person at 2am?
- Can I export all of my data if I leave?
Ask for a trial and run one real day through it: check in a walk-in, take a phone booking, mark a room dirty and clean, and close the day.
Frequently asked questions
Do I need a channel manager?
If you list on Booking.com, Expedia or similar sites, you need some way to keep availability in sync, or you risk double bookings. That can be a channel manager built into your PMS or a separate one. If you only take phone and walk-in business, you may not need one.
How much does motel software cost?
It varies a lot by vendor, room count and add-ons. Beds24 starts from €15.50 a month plus channel links, MotelOps starts from $49 a month, and most hotel PMS vendors quote by property size. Add payment processing and any channel connections to compare fairly.
Can I use a hotel PMS in a motel?
Yes, many do. Hotel systems cover rooms, rates and housekeeping that a motel also needs. Check that the screens suit a small desk, that you are not paying for features you will not use, and that the vendor will give you a straight price.
The short version
Choose motel software by where your bookings come from. If OTAs send most of them, pick a PMS with a channel manager you trust. If phone calls and walk-ins dominate, focus on the room board, rates and answering the phone. Compare total monthly cost, not the headline price, get contract terms in writing, and run a real day through any trial before you commit. You can try the MotelOps front desk in the public demo or start a free trial at motelops.com.
